Brex Purchase Guide: Modern Cards and Spend Controls for Scaling Teams
A finance-operations purchase guide for Brex covering spend policy, cards, approvals, accounting sync, rollout, and month-end close controls.
Brex is a finance workflow decision
Brex is not just a corporate card. It is a spend management system for companies that want cards, virtual cards, reimbursements, approvals, budgets, bill pay, travel, and accounting visibility to move together. Buy it when finance needs faster control without approving every purchase manually.
Choose the starting package
Start with Essentials if your main need is cards and core spend controls. Consider Premium when approval automation, policy rules, finance workflows, or stronger reporting justify the per-user cost. Use Enterprise only when custom controls, scale, or procurement requirements make a sales-led quote worthwhile.
Spend policy before implementation
Build a policy matrix before issuing cards. Define who can request a card, spend limits by role, which purchases need approval, who approves software, travel, meals, contractors, and one-time vendors, and which accounting categories should sync automatically.
Setup sequence
Connect accounting first, then create departments, budgets, approval chains, card limits, vendor categories, and receipt requirements. Pilot with finance, leadership, and one high-spend department before moving every subscription or reimbursement into Brex.
Month-end close test
Run a sample software purchase, travel expense, reimbursement, and virtual card charge. Confirm receipt capture, approval history, coding, export, and reconciliation inside accounting. Brex should reduce close cleanup, not just make spending faster.
Expansion criteria
Expand when finance can see who spent money, why it was approved, where the receipt is, and how it maps to accounting. If employees bypass the process, simplify policies before issuing more cards.
